3D: Privacy Policy Lite

What information is being collected?

We only hold the information you send us. Usually this is details like name, email address, phone number, address and whether you have had coaching/ training/ coaching supervision. We won’t tell anyone that we are working with you.  For the purposes of our professional accreditation, we will ask whether you are happy for your name and email address (and the dates when you received coaching and/or supervision) to be kept in your coach’s log. ICF may conduct periodic audits of our data to verify our coaching experience.  Some of us keep brief notes of our conversations with you and these will be shredded after six months.

Every coaching or supervision conversation will remain confidential unless you disclose an illegal activity or there is a risk to yourself or to others.   Your coach may discuss with their coaching supervisor how they worked with you – in an anonymised way – as part of their professional development.

How we collect information

You might phone us, email us, or use our contact form. Or you might place an order in our shop. In each case we only collect the information that you give us. We put this all into our virtual filing cabinet.  This is encrypted to keep it private and secure.  We use this information to prompt us to follow up with you, record the training you have done with us, record the hours we are coaching (for our development as coaches and coaching supervisors). It helps us remember what we have promised to do.

How will it be used?

Everything is in our virtual filing cabinet is accessed through our password-protected computers or phones so that we can work smoothly with you.  If you choose to sign up for 3D Ideas, that data goes to MailChimp to allow us to send our weekly 3D Ideas email to you.

If you have been on one of our training programmes, we might from time to time contact you with updated materials or information about something new that builds on what you were learning.  If you do not want to receive that, hit the unsubscribe link in the email and/or contact us to let us know.

Who will it be shared with?

We don’t pass on data for third parties to use for their own purposes.  Ever.  We use cloud based accounting, payments and email software which is all covered by the EU-US Privacy Shield.

Our professional body may look at our coaching logs to verify our coaching hours.  We will ask your permission to include your name and email address in there. We hope that you’ll say yes as it’s a useful part of our professional development.  We will respect your decision if you say no.

If you look at our testimonials page you’ll see stuff written by other people.  We will always ask you for permission to quote you by name or organisation.

How long do you keep it for?

It’s taken us some thinking time to work this one out.  Many people come back hoping that we will remember them so we will keep records for 10 years that say you have received coaching, coaching supervision or have been on one of our training programmes.  If you have made an enquiry and chosen not to follow that up, we will delete your records after 6 months.   If you send us an audio/video of your coaching, we will delete it immediately after our follow up conversation with you.

If you would like us to delete your records (except financial records in our accounts) sooner than that, let us know and we will happily do that.
